The Building Blocks of Project Management Design

Presented at the 2023 Best Practices Exchange (Un)Conference in Athens, GA, from 9:00 am to 11:20 am. Best Practices Exchange is an online community for librarians, archivists, records managers and other information professionals dedicated to managing digital information in government and non-government settings.

Abstract

When we think of project management, we don’t always think of it as fun or exciting. Particularly with digital projects and digitization, it is easy for many staff, librarians and archivists to think within a digital box and work with digital lists or other web-based applications for managing workflows and procedures. However, whether you are the lead or a project and project manager or a task level team member organizing a physical work space there are many benefits to mapping out your flow. Particularly in the planning stages of grant writing, even before funding is awarded, staying on track with your timeline and knowing exactly how things will look and flow once an award is issued can do wonders for alleviating all team members stress during grant fulfillment. In this session metadata and special collections, digital project managers and archivists will share first hand examples and stories about how and why they organize projects and workspaces. The second half of this session will give groups of attendees hypothetical prompts and a set of LEGOs with which to take what they learned and design together a functional workflow using the LEGOs. To close, groups will present and explain their workflow and/or project workspace design.
